Who is responsible

Keivan Santoli is the data controller and operates this website under the name Seiro Culture. Contact: info@seiroculture.com.

Registrations, applications and partnerships

When you submit a form, Seiro receives your first and last name, email, chosen role, current role or programme, organisation or university, industry area, experience level where applicable, city, country, reason for joining and the short context you provide. You may optionally provide your gender to help us understand participation in aggregate; it does not affect your application and “Prefer not to say” is available. If you do not have an organisation or university, you may enter “NA”. LinkedIn remains optional. We store your submission, reference, time, status and acknowledgement of this policy in a Cloudflare D1 database. Internal notifications and confirmation emails are sent through Resend. Providing the required information lets us process your request and contact you about the next step or launch. Do not include sensitive personal information.

You may optionally attach a PDF CV of up to 900 KB. It is included only in the authorised internal notification email. The temporary encoded attachment is cleared from the delivery queue after Resend accepts the email; the application database retains only the file name and size. Copies received in the authorised Seiro mailbox are retained and handled with the application.

Your profile and optional Google sign-in

Joining the Founding Network needs only your name, email, role and city; the country is filled from the city you choose. After joining you receive a personal profile page. Anything you add there (role or programme, organisation, industry area, experience level, LinkedIn, goal, reason for joining and an optional CV) is saved to the same registration as you type. There is no password: access uses a secret link sent to your email and stored only as a cryptographic hash. When you open the link, this browser remembers it in local storage so you can return; “Sign out on this device” removes it. Ask for a new link at any time from the profile page.

You may choose “Continue with Google”. Google then shares your name, email address and the fact that the email is verified with Seiro, which we use only to create or open your registration. We do not receive your Google password, contacts or other account data. Google processes this sign-in under its own privacy policy; the Google sign-in script loads only when you open the registration form.

Anonymous career survey

The 2-minute survey at seiroculture.com/career-survey is available in nine languages and asks about gender, age range, country and (optionally) university of study, current stage of study or work, internship or job search (time, CVs sent, share of companies that replied, fit with your interests and expectations, pay and how you found it), whether you already knew someone in your target area, your preferred area, an optional one-line comment, what would help you most, what is missing between studies and work, your use of and spending on AI tools for CVs, whether you would pay for a call with a professional, and how much your university helps (or helped) you, on a scale from 0 to 100. The language you chose is stored with the answers. It asks for no name or email, no IP address is stored with the answers, and answers are stored with the day only, not the time. If you then choose to join Seiro from the window that opens after the survey, your registration is kept separate from your answers and cannot be matched to them. Until you send them, your answers stay only in your browser’s local storage, so you can continue after a reload; they are removed from it when you send, and you can clear them with “Start over”. Turnstile checks the submission against automated abuse. If you open the survey through a course link, the course code (not your identity) is stored with the answers so we can count answers per course. Answers are used in aggregate to understand access to the sports industry and to report statistics; they are never shown one by one, and they are kept for up to 36 months.

At the end you receive a reward code. Codes are stored separately from answers, as a cryptographic hash with only the day they were issued and the course code, so a claimed reward cannot be linked to an answer. If you join Seiro and add the code, the reward is recorded on your registration: 20% off your first call with a professional on the platform, priority access on launch day and priority registration for networking events with limited places. The discount applies to the first call only, is sent as a coupon by email when the platform opens, has no cash value and cannot be transferred. Codes must be claimed within 181 days of the launch, one reward per person. Legal basis: our legitimate interest in research on access to the sector (Article 6(1)(f)); the reward is governed by these terms.

Course ambassadors

Students who volunteer as course ambassadors give us their name, email, university, programme and, optionally, the size of their course. We use these to send their personal course link and a private progress page, and to contact them about the Seiro Circle. The progress page shows only totals: how many people answered through the course link, and how many joined Seiro with a survey code and confirmed their email. Ambassadors never see who answered, what anyone answered or who joined. To confirm an email, links in our emails carry a short code; opening one, or signing in with Google, marks the email as confirmed on your registration. Ambassador data is kept while the programme runs and deleted on request. Legal basis: the arrangement you ask us to enter into (Article 6(1)(b)).

Optional questionnaire

You may tell us about professional challenges, relationship preferences and priorities. Optional questions also cover preferred sporting or non-sporting formats, activity comfort, availability, professional goals, industry interests and whether you already knew someone in your target field. These answers can be considered alongside the city and role in your registration. Activity comfort helps plan suitable experiences; it is not used to rank professional access. The existing-contact question helps us understand starting points and future access outcomes. Do not provide health, financial, family or other sensitive information. These answers are linked to your registration to understand what would make Seiro useful to you and to inform development. They are not used to make automated admission decisions. The questionnaire is optional: skipping it does not affect your registration. Its secure link expires after 180 days. Please do not share that link.

Technical information and campaign context

Cloudflare hosts and secures the site. Turnstile checks form requests to reduce automated abuse and may process IP address, browser and technical signals. Its token is verified on the server; Seiro does not store the token or raw IP address in the registration database. Read the Cloudflare Turnstile Privacy Addendum.

When present, campaign labels (UTM source, medium, campaign and content), the landing-page path and referring website origin are saved with your submission so we can understand where enquiries come from. No full referring URL is saved. Campaign context stays in page memory until submission; we do not use it for cross-site tracking. No advertising or analytics tags are installed. Your cookie preference is stored locally for six months.

Purposes and legal bases

We process registrations and enquiries to respond to the steps you request before a possible relationship or agreement (GDPR Article 6(1)(b)). Security, limited campaign attribution and voluntary product research serve our legitimate interests in protecting the service, understanding enquiries and improving Seiro (Article 6(1)(f)), subject to your rights and interests. The required checkbox records that this information was presented to you; it is not consent to unrelated marketing.

A separate, optional and unticked checkbox lets you consent to occasional SEIRO news, event invitations and launch updates by email (Article 6(1)(a)). Refusing it does not affect your application. You can withdraw this consent at any time by emailing info@seiroculture.com; withdrawal does not affect earlier lawful processing.

Retention

Application details and linked questionnaire answers are kept for no longer than 24 months from submission unless you join Seiro, a continuing relationship requires them, you ask for deletion sooner, or a legal obligation or legal claim requires a different period. Applications moved to “Discarded” in the private portal are retained for up to 90 days so accidental actions can be restored, then removed during routine database maintenance. Marketing consent records are retained while consent remains valid and as necessary to demonstrate or respect your choice.

Failed email jobs remain available for delivery review; their stored email contents, including an optional CV attachment, are cleared when delivery is accepted by the provider. Copies in authorised mailboxes and provider logs are managed separately under their own retention controls. Temporary access links to the private registration portal expire after eight hours.

Recipients and international processing

Authorised Seiro operators access enquiries and questionnaire answers. Cloudflare provides hosting, database and security services; Resend provides email delivery; Google Workspace hosts the authorised internal mailbox that receives application notifications and optional CVs. These providers act under their applicable data-processing terms. Their services may process data outside the EEA, including in the United States. Where required, transfers rely on applicable safeguards such as standard contractual clauses or a valid adequacy mechanism. Contact us for information about the safeguards applying to your data. See Cloudflare privacy information, Resend privacy information and Google privacy information.

Optional profile and source links open external websites governed by their own policies. Images, fonts and animation code are hosted locally.

Your rights and choices

You can request access, correction, erasure, restriction or portability where applicable, and object to processing based on legitimate interests, by emailing info@seiroculture.com. You may ask us to stop contacting you about your registration, withdraw optional email consent or remove questionnaire answers. Direct-marketing objections are honoured free of charge. You can also complain to the Italian Garante or another competent supervisory authority. Required form details are necessary to process the request; optional details, the CV, email updates and questionnaire answers are voluntary. No automated decision determines admission on this website.

Internal access and security

The application portal is not publicly indexed and requires a short-lived, single-purpose access link sent only to the authorised Seiro mailbox. Access links are stored as cryptographic hashes and expire after eight hours. Data is transmitted over HTTPS. Access is limited to authorised operators and applications can be filtered or moved to a recoverable discarded state. No internet service can guarantee absolute security; suspected personal-data incidents are assessed and handled under applicable law.
